Approve or reject an access change

Who can do this

The owner and access administrators decide. The person who asked can withdraw their request. Every plan.

Open in GISweaver

Decide a sensitive access change that another access administrator asked for, such as naming an administrator.

If you asked for the change, select Withdraw on it instead.

  1. Open Access from Organisation controls. The Access page opens.
  2. Select Administrators and approvals, then Approvals. A number beside each tab counts the requests waiting.
  3. Under Waiting for approval, read the request: who or what changes, who asked and why. For a role or a permission group, Adds and Takes away list what changes.
  4. Select Approve or Reject on the request. A box opens with Reason.
  5. Type why in Reason, in 3 to 500 characters. The person who asked reads it.
  6. Select Approve (or Reject) to confirm. The request moves to Decided.

What happens next

An approved change applies at once, and the person named is told. The person who asked is told either way. Decided shows who decided, when and why.

If something goes wrong

  • You cannot decide a request you made or one that names you. Another access administrator must decide it.
  • Waiting for another access administrator. This is your own request, so you cannot decide it. Select Withdraw to cancel it.
  • That request has already been decided or withdrawn. Another administrator decided it first.
  • The person who asked may no longer make this change, so it cannot be approved. Reject it instead.

Details

  • With two or more access administrators, a sensitive change waits until a second one approves it.
  • Everyone in your organisation can read Approvals; only the owner and access administrators can decide.
  • Every request, decision and withdrawal is written to the audit trail.
